To find the useful life for a piece of equipment, you will need the 9-digit Asset Tag Number. Find the Profile ID by running an Asset Management Report in MyReports on the Asset Tag Number. Look up the Profile ID in the UCOP Useful Life Indices for Equipment Depreciation under the EQ Code Sequence Index listings by EQ code groupings to find the useful life assigned to the piece of equipment.
Submit a revised equipment depreciation schedule (included in Recharge Proposal Forms) to Recharge Review any time new equipment is added to a recharge activity. If the addition of equipment impacts the recharge plan or rates, a rate change request should be submitted.
Submit a Source Code 535 Financial Journal in PeopleSoft to debit the recharge fund and credit the renewal and replacement reserve fund using account 59025 for both the debit and credit sides of the transaction. Depreciation credits should post to the renewal and replacement reserve fund in the same Dept ID, Parent Project, and Function as the recharge activity. See example.
Renewal and Replacement Funds should only be used to make capitalized purchases related to the recharge activity when there are sufficient funds to cover the purchase. Guidelines for the use of Renewal and Replacement Reserve Funds are set forth in the UCOP Accounting Manual P-415-66 III.A: Reserves to be included in the Renewals and Replacements category are amounts set aside strictly for building maintenance and equipment replacement.
